Presentation Instructions

LECTURE PRESENTATIONS

The duration of a presentation slot is 15 minutes. You will have 12 minutes for the presentation itself and 3 minutes for questions from the audience.

A PC laptop will be available in each presentation room to display the slides for all oral presentations. Please bring your presentations in PDF (.pdf) or PowerPoint (.pptx) format.

Preparation of Visuals / Slides:

  • Please note that you must bring a USB memory stick containing your presentation file.

  • To avoid software compatibility problems, speakers are advised to embed all fonts in your PowerPoint file and bring a backup PDF-version of your presentation.

  • Speakers must arrive in their session room 15 minutes before the start of your session to report to the session chair and to load presentations onto the laptop. 

POSTER PRESENTATIONS

Poster presentations are an opportunity to present your research to conference participants in a highly interactive setting. Posters should be graphically rich, have only the minimum necessary elements, and should not be an enlarged version of your paper.

Poster sessions are scheduled from 2:45 pm - 4:00 pm on Monday and Tuesday. At least one author MUST be present next to your poster to describe the research and answer any questions during this time. The exhibition space will be made available earlier in the day for hanging posters; each author is responsible for hanging up their poster before the start of the session and for removing it after the session ends. 

Preparation of Posters:

  • The recommended poster format is 36 inches wide and 48 inches tall (36” x 48”) in a portrait orientation [; a blank template is provided as an example for sizing.]

  • Authors are required to print their own poster as a single sheet and bring it with them to the conference. No on-site printing will be available. 

  • Double-sided adhesive tape and/or pins will be available in the poster area to attach the posters to the panels.

SUBMISSIONS

  • All MWSCAS 2025 submissions (regular papers, special session papers, and special event abstracts) will go through the PaperCept service (conf.papercept.net/). See below for PaperCept account instructions. Email submissions will NOT be accepted.

    1. Find MWSCAS 2025 in the list of conferences, select the Submit a contribution to MWSCAS 2025 link, and follow instructions within. Links to submit various contributions and their deadlines are in the list at the bottom.

    2. If you need to edit any author information or resubmit your paper, it may be done through the submission site until the submission deadline.

    1. Go to the PaperCept site (conf.papercept.net/) and select Log In at the top of the screen

    2. If you do not have an existing PaperCept account, click on Register a PIN to create a new account. This will generate an email to you, and you can follow the email link to create a password. 

    3. Remember/record your PIN as it will be used for all interactions on this site, including submissions.

    4. Each author will need a PaperCept account PIN.

    5. PaperCept uses conference tracks as “keywords” associated with each paper. For each paper submitted, use the first priority keyword to identify the conference track for each submission. Lower priority keywords will be used to define the expertise areas of authors for the review process, and all submitting authors will automatically be registered in the reviewer pool.

  • Papers must use the IEEE templates linked within the submission site instructions. Your paper must comply with the following specifications:

    1. Paper Length: Maximum 5 pages, of which 4 are for technical content including text, figures and references (if any), and with one additional optional 5th page containing only references.

    2. Paper Size: US Letter (8.5" x 11") or A4 (210mm X 297mm)

    3. Fonts: Embed ALL fonts in your PDF file. Avoid the use of Type 3 fonts.

    4. File Format: Adobe PDF (.pdf)

    5. Allowed File Size: 5 MB

    6. Do NOT apply security settings to your PDF file.

    7. Deviations from the above paper specifications could impede the review of your paper and result in rejection.

    Reviews will be single-blind. Please do not remove author information from submissions. 

    Additional Requirements:

      1. IEEE policy requires you to file a copyright release for each accepted submission. Without a copyright release on file, your paper CANNOT be published. Further instructions will be included in your decision email.

      2. Authors are required to make their presentations in person at the conference venue. Consideration of accepted papers by authors unable to attend due to VISA restrictions will be managed on an individual basis.

      3. REMINDER: At least one author per accepted submission must register for the full conference AND attend the conference to present their paper. Each full registration will cover 2 papers, and additional papers can be covered by a different full registration or by an extra paper fee during registration.

      4. IEEE reserves the right to exclude any accepted paper from distribution after the conference (including, removal from IEEE Xplore) if the accepted paper is not presented at the conference.

    2. Best Student Paper (must identify student lead author during submission process)
